Job Description

Patient Appointment Scheduler

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Accept incoming patient phone calls and use scheduling software to arrange appointments.
  • Triage patient needs for timeliness of appointments based on predetermined criteria.
  • Determine appropriate physician for each patient, using criteria.
  • Retrieve appointment requests and place outbound calls to patients for scheduling.
  • Gather and update insurance information, personal data, and notify patients of financial expectations.
  • Communicate and collaborate with providers and provider staff to ensure scheduling needs are met.
  • Meet call quota expectations as assigned by supervisor/manager.
  • Monitor and work the Scheduling Department inbox (Portal messages and bumplist).
  • Communicate with other departments regarding insurance inquiries, patient balances, and same‑day add‑ons.
Pay Information

$17–$19 per hour, depending on experience.

Requirements
  • High school diploma or equivalent.
  • Six months of appointment scheduling experience in a healthcare setting (preferred).
Skills & Abilities
  • Intermediate computer skills.
  • Strong customer service.
  • Professional written and oral communication, including email.
  • Strong organizational skills with great attention to detail.
  • Ability to apply common sense to carry out instructions provided in written, oral, or diagram form.
  • Demonstrated conflict management skills.
  • Ability to navigate multiple systems simultaneously.
Physical Demands

Employee is regularly required to sit, stand, walk, reach with hands and arms, talk and hear, and occasionally climb or balance, stoop, kneel, or crouch. May need to lift or move up to 20 pounds. Specific vision abilities required: close vision, distance vision, color vision, peripheral vision, depth perception, ability to adjust focus.

Work Environment

Employees may be exposed to infectious diseases when interacting with patients or family members. May be exposed to wet and humid conditions, moving mechanical parts, fumes or airborne particles, toxic or caustic chemicals, and vibration. Noise level usually moderate.
