Your role Oversees, reviews, and adheres to the OPEX budgets for each business department and supports the Operations Manager. Ensure that all the companys financial practices are in line in statutory regulations and legislation. Oversees office facilities, IT infrastructure, and logistics operations in Switzerland. Additionally, supports event management, purchase order creation and contract system entries, ensuring efficient and timely execution of operational tasks.
- Support financial analysis and reporting like daily sales and out of stock management for the Swiss organization.
- Overseeing Accounts Payable, Accounts Receivable, Tax, Treasury, and Financial Accounting processes and functions
- Advising and implementing best practice methods to increase revenue and reduce costs
- Managing company car fleet in Switzerland
- General Swiss email inbox and telephone management
- General Employee onboarding
- Managing office facilities in Switzerland (office material, supplier management and access management) and overall responsibility office
- Local point of contact Swiss IT (LPOC)
- Implementing global IT initiatives/projects, and communi- cating to local stakeholders
- Coordinating local IT infrastructure (new IT materials) and or- ganizing (or providing where possible) onsite support
- Responsible for organizing / buying new IT material
- Direct contact with third-party logistics providers (3PLs) to manage and oversee logistics operations.
- Coordinate with internal teams and 3PLs to ensure timely de- livery and distribution of products and samples.
- Backup and support to Operations Manager
- Internal and external event management (e.g. cycle- and sales meetings, expert boards)
- Creation of purchase orders (POs)
- Key contact person for contract creation and system entries
- Commercial background and further education as chartered specialist in financial accounting and management
- At least 3 years experience in a similar position; including budget responsibility and budget planning / cost tracking
- Understanding of accounting and yearend closing
- Solid understanding of HR procedures
- Fluent in English and German; French is a plus
- Proficient knowledge of Microsoft Office products (Word, Excel, PowerPoint)
- IT affinity and experience (for trouble shooting)
- Confidence in taking responsibility for decisions
- Builds trust within the team and organization
- Strong organizational skills
- Ability to prioritize tasks effectively to meet deadlines
- Clear and effective communication skills
- Openness to feedback and collaboration
